Data Retention Policy

1. Purpose

This policy sets how long Poyais One keeps the data it processes for merchants, and how that data is deleted.

2. Principles

  • We collect only the data a feature needs (data minimization). From Shopify orders, Poyais One requests only the order ID, creation date and total price for revenue reporting. Line items (product, SKU, quantity, price) are used for product sales reports. Customer names, email addresses, phone numbers and postal addresses are not requested and not stored.
  • Order data is aggregated (per day × sales channel × product) before it is stored. Individual orders are not kept.
  • Data is deleted when it is no longer needed for the purpose it was collected for.

3. Retention periods

4. Deletion

  • Deletion jobs run daily (cleanup_stale_data scheduled task).
  • Shopify mandatory compliance webhooks are implemented: customers/data_request, customers/redact, shop/redact. Because no customer-level personal data is stored, customer requests have no records to export or delete. Each request is still logged. shop/redact deletes all data derived from that store.
  • Data expires from backups when those backups age out (at most 30 days).
  • Merchants can ask for deletion at any time at hello@poyaisone.com. Requests are completed within 30 days.
